Inside the Build

Situation
Occupational Health Nurses regularly prepare employee follow-up communications that must be clear, accurate, and supportive. With the introduction of Microsoft 365 Copilot, nurses needed practical guidance on how AI could assist with their daily responsibilities without compromising accuracy, privacy, or professional judgment.

Task
Design an accessible, easy-to-use learning resource that demonstrates a meaningful application of Copilot within an existing nursing workflow. The objective was to help nurses understand how AI could reduce repetitive writing tasks while keeping them responsible for reviewing and approving employee communications.

Action
• I developed a visual, three-step performance support guide centered on a common task: preparing an employee return-to-work follow-up message.
• The resource guides nurses through gathering essential notes, using a structured Copilot prompt to generate a draft, and reviewing the output before sending it.
• I incorporated a reusable prompt, a realistic example of the finished communication, high-contrast visual elements, and clear reminders about organizational privacy and AI-use policies.
• Rather than developing a traditional eLearning course, I chose a concise job aid that nurses could reference directly within their workflow.

Result
• The completed one-pager provides a practical example of how Copilot can support routine healthcare communications while preserving human oversight.
• The solution demonstrates a repeatable workflow designed to reduce drafting effort, improve communication consistency, and encourage responsible AI adoption.
